TLC Consultant (“we”, “us”) is an accounting firm providing bookkeeping, payroll, sales tax, and CFO advisory services to businesses in the United States. This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it.

Information we collect
Information you give us
- Identity and contact details: name, email address, telephone number, and business name
- Enquiry details submitted through our contact form: which market you operate in, employee count, your current bookkeeping situation, preferred language, and the content of your message
Booking a call
If you book a consultation through our online scheduling page, we collect the name, email address, and any details you provide when booking, together with the date and time you select. Scheduling is provided by HubSpot, and the appointment is added to our business calendar so we can meet you at the time you chose.
Client financial information
Once you engage us, we process the financial records necessary to deliver the service. Depending on the engagement, this may include bank and credit card statements and transaction data, payroll records, invoices and receipts, tax identification numbers, and tax filings.
We collect this information only after an engagement begins, through secure channels we establish with you. Please do not send bank statements, tax documents, Social Security numbers, or other sensitive financial information through our website contact form.
Information collected automatically
- Technical data: IP address, browser type, pages viewed, and the page that referred you
- A cookie recording your language preference, so the site remembers whether you are reading in English or Vietnamese
- If you open our online booking page, HubSpot sets cookies that allow it to show available times and link the booking to your enquiry

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

We disclose personal information only to the service providers we rely on to deliver our services, and to authorities where the law requires it.

Where an engagement requires a platform not listed here, we will tell you before your information is shared with it.
Authorities and others

- A successor entity in the event of a merger or acquisition
International transfers
We operate in the United States and Vietnam, and our staff in both countries may access personal information in the course of delivering services. Information originating in Vietnam may be transferred to the United States, and information originating in the United States may be accessed from Vietnam.
We apply the same confidentiality and security standards to your information wherever it is accessed.
How long we keep it
We retain client engagement and financial records for as long as required by law, by tax authorities, and by the professional standards that apply to accounting firms. Enquiries that do not lead to an engagement are kept only as long as needed to respond and to maintain a record of the contact.
Where a legal hold applies, we retain the affected records until the hold is lifted.
How we protect it
We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of financial information. These include encrypting information in transit, limiting staff access to what a person’s role requires, and establishing secure channels for exchanging documents with clients.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights
California residents
If you are a California resident, you may:
- Know what personal information we collect, use, and disclose
- Delete personal information, subject to exceptions where we are required to retain records for legal, tax, or professional-standards reasons
- Correct inaccurate personal information
- Limit the use of sensitive personal information
- Opt out of the sale or sharing of personal information — we do not sell or share it
- Exercise these rights without discrimination in the service you receive
Vietnam
If your personal data is processed in Vietnam, you have the right to be informed about the processing, to give or withdraw consent, to access, correct, and delete your data, to request a copy, to restrict or object to processing, and to complain to the competent authority.

Children
Our services are provided to businesses. We do not knowingly collect personal information from children.
Changes to this policy
We will post any change on this page and update the date above. Where a change materially affects engaged clients, we will tell them directly.
